What are the tasks of the Tutor Coordination Office?

  • Semester-Overlapping Tutor Employments: For the application process, we factor in the experiences lecturers/instructors made with previously selected student tutors. We therefore appreciate feedback on selected tutors. The Tutor Coordination Office also assists in case of problems between tutor and instructor and is here to mediate.

What are the Tasks of the Instructors?

  • The instructors are responsible for the content of the exercises, the structure and organization of the tutorials and most importantly for the instruction of and communication with the tutors. Please read the following section carefully and contact us in case of questions.

    1. Applying for a Budget & Reviewing Budget

Based on the information from TUMonline and the expected student numbers determined by the Academic and Student Affairs (CIT) - School Office, a budget is approved for each compulsory and several elective courses. The current determined budget-overview can be viewed here. Instructors should review the approved budget before the start of the semester in order to inform us about updates or request a revision. Questions regarding the available budget can be addressed to anton.frank@tum.de.

    2. Recruiting Tutors

One of our team's tasks is the recruiting of student tutors. As an instructor, you are welcome to actively participate in the recruiting process by reaching out to former students that attended your courses successfully, by advertising the open positions in lectures or other events. Please always refer interested candidates to the ASTRA tool where they need to register and apply. Our team aims to inform students about the opportunity to work as a student tutor and does not advertise specific tutor positions. Targeted advertising measures (as mentioned above) will very well complement the recruiting process. You can find important information concerning regulations for working students at TUM here

    3. Selecting Tutors

The respective instructor is responsible for the selecting process of tutors and can reject or accept applications. We do not prescribe how the applicants for each lecture should be assessed. Please use the ASTRA tool to accept/reject applications and contact us in case you do not have the required authorizations yet. All following administrative tasks will be coordinated by our team.

    4. Instructing and Supervising Tutors

A successful instruction of tutors requires good planning. Depending on the available budget (see section 1), you can employ a maximum number of tutors for a maximum number of weekly working hours. Please also be aware of regulations concerning available holidays, sick days and the required documentation of working time (FAQ for instructors). When instructing your tutors, please also take into account working hours that are needed at the end of the semester for the exam correction (more information under section 5).

Only the instructor is responsible for the supervision of the tutors. This applies in particular to the required professional supervision, the coordination of tasks as well as the documentation of weekly working hours.

    5. Recording of Working Time and Working Time Documentation

Working time is the actual time spent at work, i.e. no breaks or time needed to get to/from work. Here you can find how we standardly prepare the tutor-contracts for each lecture (this depends on the approved budget for each lecture and the tasks of the tutors). If required, the contract can be adjusted (for example if the tutor would like to work more/less and the instructor has approved this). Please inform us about the planned contract changes early on: tutorbetrieb@in.tum.de

Please make sure to read the provided information on working students in the faculty guide, in particular the two sections Duties due to Mindestlohngesetz (minimum wage law) and Arbeitszeitkonten (working time accounts). The instructor is responsible for the correct recording and documentation of working hours. Our office archives the documentations for the required period. Please send us the signed documentations signed by you and your tutor.

Should there be any further questions, our team is here to assist: tutorbetrieb@in.tum.de
